Really. -- AIMS will screw up and you will have to log back in, losing everything. - If you go into the "non playing roles" the AIMS "Back" and "Exit" buttons will not work until you change something. - Do NOT "edit" an active season's entry unless you are SURE that is what you want to do. The program stupidly does not block off seasons from each other. So you can change an indoor player into an outdoor player, thus deleting their indoor registration. .... and they may well still be playing indoor! - When you change a drop-down menu, the program will NOT repeat a search. It pauses so you *think* it is searching. But it isn't. - When you exit/back out of "Registration of Individuals" or "Batch Registration", there is *always* a pop-up telling you that you are going to lose data. It *lies*. If you saved, you are fine. The idiot who wrote the code didn't think to check whether you'd saved or not. GOTCHA (This is a "feature", not a bug) - After you register folks, you'll probably want to check the roster to see if it is OK. SET THE DATE TO THE NEXT DAY or you won't see them. It's that built-in 24hr delay. Why is there a built-in 24hr delay? No one can/will tell me. Personally, I think someone pissed off a programmer and this is his revenge. - I suspect all the admin roles are terminated March 31. It's happened 2 years running that I made myself and admin in January for a whole year and had to re-do it in April. AIMs: Start of season AND check after March 31 ============================================== - Our Details - Update the snail and e-mail addresses and the phone numbers - Save any changes - Committees & Other Groups - Ensure there is a group here that is active -> you can "Edit" any of them and make them active or inactive -> you can create a new one - Save any changes - Make yourself and all the executive "Admins" (EODSA membership requirement) - Individual registration - Search for the exec. (Registration of Individuals) - Select the exec. - Select Other Reg - Select Role = Administrator - Fill in their position (President, V.P., etc) - Check that the dates are correct (WATCH OUT: the defaults may be stupid) - Select the Committee you just created - Click Add - Make sure the Committee is checked - Click Save - To see the Club Admins, - Go to Data Export - Choose Role of Administrator - Choose the season - Click Export - This will give you an excel sheet with your Admins entered - Program Registration This creates a category to hold your teams. You may want "men", "women", "OT-men", "OT-women" - select the season (upper right corner) - add new Example: name = men, type = player (i.e. you're going to register players) gender = male, season = outdoor 2010, price = 0, classification = senior rec min/max = __, age = senior open valid from Jan 2011 to Dec 2011 *GOTCHA*: Make sure the valid dates don't overlap last year's or you'll get a "program already exists" error. - Create/Edit Teams The EODSA asked that teams be, eg "OCSL Spitfires WR2" "OCSL Spitfires OT5" You can (apparently) use the same team from year to year. Example name = OCSL Spitfires MR2, registration number = mr2, class = senior rec, age = open, gender = male NOTE about the registration number. You will need this for player transfers (e.g. WR1 calls up a player from Lynwood's W30 team). Might as well make it easy to remember, eg mr2 for the mr2 team, ot5 for the ot5 team, etc. But it doesn't really matter. If you forget what you set it to, look on the roster. --- our TD number is TD 0740 -- - Player registration This is where you use the "Program". Players get assigned to the club and its programs. - use this for players who are new to the club or the late individuals. For everyone else, you'll use "Batch Registration" - for returning players, you can just enter their last name and click search. - for new players you must enter first and last names and DOB and tick Search Entire Database. Just put the player's initial for thei first name. Some players may register under either their full (Thomas) or their short (Tom) name. The initial will find both. GOTCHA: if you forget to tick the search everywhere box, and have to go back, you'll find the program has cleared your entry. ARGH. - if it finds multiple folks, you can try checking the address to see if one matches, but there is no guarantee that it is up-to-date, so you may just have to select one at random if it finds multiples that all seem to be the same person, it doesn't seem to matter which one you click on. ... it used to let me click on "Contact Details" when I selected one so I could check the address. Now it doesn't. Bug?? ... anyway Select the player - if it doesn't find anyone, it'll let you create a new registration. After you've filled in the contact details *and saved them*, you'll be at the same place as if the system found the person so: - click on "Player Reg" at the bottom right - select the program (men, women, OT... it'll only show the programs the player is eligible for) set the Status to Active Save and Proceed - Save (again) - Click OK (don't worry about the numbers shown) - Start New Registration (or, in theory, Exit, but that button isn't working) GOTCHA: if you go to Reports from this page, weirdnesses will occur. - At this point the player is in the system and (after the stupid 24-hr delay) can get an ID card. S/He doesn't have to be on a team to get a card. - When you have registered all the players you want, and when you know what teams the players will be on, go to the "Allocate to Teams" to add them to the team roster. (See below the "Batch" info in this how-to.) - Batch registration This is where you can copy folks from last year to this year. Gotcha: if you change a drop down menu, the program doesn't re-do the search. You must click the Search button again. (Simple example: switch from male to female.) Use this also when adding a player to a second team, e.g. adding an OT player to MR6 or an MR4 player to OT. In theory the individual player section should work too, but it issues an error warning so I'm not sure. I know this one works. You'll generally search for those from the previous season and then assign them to the next so "From Season" == LAST YEAR Search for your players Click the "Show All Records" box. - GOTCHA: If you don't click this, you must Select and Re-register on Each Page, because selections are Not saved when you click next page. Select your players Set the "To Season", "To Program" and "To Team" Click Re-Register Remember to generate & save a roster (with tomorrow's date) when you are done and send it to the coach. S/he must print it and take it to all his/her games. 2013 note: Shanna says this shouldn't be necessary any more because the game sheet has the roster. You'll need to check on this though if the OCSL switches their software again. - Allocate to teams - The Batch does Allocate. Use Allocate only if you've registered individuals GOTCHA: remember to click "search" after changing the menus!!!! There is no "save" button to click. Move the players to the correct team and you are done. - Remember to generate & save a roster (with tomorrow's date) when you are done and send it to the coach. S/he must print it and take it to all his/her games. YOU MUST HAVE A COACH PER TEAM ------------------------------- Coach registration Go to Individual registration Seach for your person Select him/her click on "other registrations" select the role (if it didn't default to "Team Official") select the season select the team \ GOTCHA: Even if the role is select the position (Head Coach) | displayed on the page, you still click the Add button / must do these 3 steps. Really. tick the check box click the Save button OK - Gotcha: the Save button doesn't always let you click on it. Try ticking/ unticking the select box and re-trying the save button till it works. ! DE-REGISTRATION - You can de-register a player before the season starts. - unallocate from any teams (2011: this step not necessary) - Registration of Individuals - search for player - select him - in the Registration History table, - click on the "edit" next to the current registration - change the Status drop down menu to "Void" - Save and Proceed - Save - OK - exit and check that the roster for *tomorrow* looks right. (Remember the 24-hr delay. I'm actually not sure if it applies to voiding registrations, but looking a day or two ahead can't hurt.) DOUBLE REGISTRATION OF A PLAYER. - It is possible (easy!) to accidentally register a player twice. In that case, I void one of the two registrations. (See DE-REGISTRATION just above.) PLAYER WITH WRONG GENDER(!) - Situation: new player needed for WR1. Look them up and find that they've been entered as a male. You can't register them to WR1 because they're male. You can't change anything about them till you've registered them. - Solution: - register them as a team manager or some other non-playing role - change their sex - register them to their team - go back and delete the non-playing role. MAKING A TRIAL PERMIT PLAYER A REAL PLAYER - When the EODSA gets a trial permit they register the player in AIMS in our club on the appropriate team, just like we'd register a newbie, but they set the from/to registration dates to cover 2 weeks only. So, to make the player permanent just: - Go to Individual registration - Seach for your person - Select him/her - *Edit* his/her cureent registration and - Change the "to" date to Dec 31 of the current year. CHANGING SOMEONE'S NAME - Situation: one of the ladies gets married and wants to use her married name. (1) Make sure she knows that if you change her name in AIMS, she's going to have to get a new card before her next game. (2) If and only if that's OK then: - Go to Individual registration - Seach for your person - Select her. - Edit her. If she is already registered, you'll get popped to the registration screen. That's OK. Just select the "Player" Tab at the top and that'll get you to a scren where you can change any of her details. - Save, Save and Save. VIEWING TOTAL PLAYER REGISTRATIONS Choose Data Export from the main menu In the drop down menu choose Player as the role In the drop down menu choose Outdoor 2012 as the season In the drop down menu choose All as the status Click the Export button
